These instructions are for presenters giving a talk in Elstad Auditorium (Building 17) of Gallaudet University at SNL 2025. This includes Symposium talks, Panel Session, Slide presentations, Keynote Lectures, and Awards Lectures. To get to Elstad Auditorium (Building 17) enter the main campus entrance/front gate off of Florida Avenue, at the split turn right. Elstad Auditorium (Building 17) will be the first building on your right.

Meeting Registration

All speakers must be registered to attend SNL 2025 prior to giving their talk. You can register online by logging in to your SNL Account and selecting 'Register to Attend SNL 2025'. You can also register onsite at the Registration Desk located in Field House (Building 16) located directly next to Elstad auditorium.

Room Configuration

All talks are given in the Elstad Auditorium of Gallaudet University. Elstad Auditorium is configured with:

  • A projector and screen at the center of the stage.
  • On the stage is a lectern with a microphone. A Lavaliere (clip-on mic) is also available upon request.
  • A "confidence monitor" in front of the lectern.
  • An audio connection is available at the lectern if you need to play audio from your laptop.
  • Two audience microphones are available for taking questions from the audience.

Setting Up for Your Talk

All speakers should arrive in Elstad Auditorium thirty minutes before the start of your session.

You will be presenting from your own laptop computer.

At the lectern, connect your computer to the projector via the HDMI cable. If you do not have a standard HDMI port on your laptop, you must bring an adapter. We have a limited number of USB-C to HDMI adapters available.

Test your presentation, including playing video and audio.

If you prefer to use the wireless clip-on microphone (Lavaliere) instead of the lectern microphone, ask the AV Technician to set it up and test it.

The screen in the talk room is widescreen format (16:9 aspect ratio), so it’s best to use widescreen slides. Standard slides (4:3 aspect ratio) will work but will have blank space on each side of your slide when projected onto the screen.

Giving Your Presentation

Slide Presentations and Symposium Talks

Slide Presentations are 12 minutes in length, followed by a 5-minute discussion period. Please plan your talk so you can complete your presentation in no more than 12 minutes. Symposium Talks may vary in length as determined by the symposium organizer.

Speakers typically sit in the front row of the audience until it is their time to present. When it is your turn to speak, step up to the lectern and connect your laptop via the HDMI cable.

Keynote Lectures and Award Lectures

Keynote Lectures are one hour in length. Please plan your talk to be approximately 50 minutes long to allow for introductions and taking questions at the end of your talk.

The Distinguished Career Award lecture is 45 minutes: 35 minute talk followed by 10 minutes of Q&A. A 15-minute Best Paper Award fills out the hour.

Early Career Award and Dissertation Award lectures are 30 minutes long: 15 minutes talk followed by 10 minutes of Q&A.

Working with Interpreters

Sign language interpreters will be present throughout the conference to support accessible communication. If you are not used to working with interpreters, please keep these tips in mind.

  • Always direct your attention and speech to the person you are conversing with, rather than the interpreter.
  • Speak at your natural pace—there’s no need to slow down unnaturally, as interpreters are trained to keep up.
  • Please avoid speaking over others, as interpreters can only interpret one person at a time.
  • Be mindful of visual sight lines so that interpreters and Deaf participants have a clear view of each other.

If you are giving a talk, we kindly ask that you share a draft of your slides at least 1–2 weeks in advance to allow interpreters to prepare for technical content and terminology.

Technical Assistance

SNL Staff and an AV Technician will be in the Elstad Auditorium 30 minutes prior to the start of your session to help set up your laptop connection and test your presentation. The AV Technician will remain in the room throughout the session. If you need assistance, see the AV Technician or SNL Staff.

Poster Sessions

There are six poster sessions scheduled at this year’s SNL meeting. All poster sessions are held in Wangari Maathai and the Lise Giardin Hall.

Each session is 2 hours. The poster number assigned to you will tell you which session you are presenting in. For example, B15 would be Poster Session B, poster board 15. Poster boards will be provided in landscape format, measuring approximately 150 × 120 cm (59.1 × 47.2 in).

Presentation Schedule

The first author must be present during the entire poster session. If the first author is unable to present, the abstract must be withdrawn or permission must be granted for another author to present.

You may post your materials on the board assigned to you at any time after the “Set-up Begins” time, but all posters must be up before the beginning of the assigned poster session. You must remove your poster promptly–no later than the “Take-down Complete” time. Any posters left up after the “Take-down Complete” time may be discarded.

Pushpins will be available. Tape, glue and other adhesives are not to be used on the poster boards. Poster boards will be numbered by SNL. No electricity is available onsite.

Title

Prepare a banner for the top of the poster indicating the abstract title, authors, and affiliations. Lettering should be approximately 4 cm high for the title, 2 cm high for the authors' names, and 1.5 cm high for affiliations.

Text

Posters should be complete and self-supporting so that different viewers may read at their leisure. The author should only need to supplement or discuss particular points raised during inquiry. Remember that people of varying degrees of interest and experience may be viewing your poster. Therefore, you will want to make your points as complete and brief as possible.

The standard elements are: Introduction, Methods, Results (with supporting figures), and a Conclusion or Summary. Type should be seen easily from a short distance.

Illustrations

Figures should also be seen easily from a short distance (about 1 m). Use clear graphics and large type to accomplish this. The main points should be straightforward and not require extended viewing, but details should be included for those who might wish to discuss it. Because the amount of text is restricted, the figure legend may contain some of the commentary that would usually be contained in the body of a manuscript.

Suggestions for Creating Effective Posters

  • Minimize narrative.
  • Use large type in short, separated paragraphs.
  • Do not set entire paragraphs in boldface or capital letters.
  • Numbered or bulleted lists are a concise and effective way to convey a series of points.
  • Figures should easily be seen from a distance. Use dark colors on a white or light background.
  • It is not necessary to post a copy of your abstract.

Upload Your Poster PDF

Upload a PDF of your posters for attendees of to view. Uploading a PDF of your poster is optional.

To upload your Poster PDF:

  1. Log In to your SNL Account.
  2. Click the ‘Upload Poster PDF’ link below your poster title.
  3. Select a PDF file from your computer and click ‘Upload’.

To view a Poster PDF, navigate to any poster presentation page. If the poster has an uploaded PDF, you will see a ‘View Poster PDF’ link below the poster title.

In addition to viewing Poster PDFs, all talks will be recorded and available for viewing on the SNL website after the meeting.
